Changing the Item or the Account for any of the options in Settings, changes the relationship with how Commerce Sync transfers to QuickBooks.
|Receivables||Invoices are tracked in this account within your Chart of Accounts. We recommend using the default QuickBooks 'Accounts Receivable' account.|
This setting should not be changed if you have selected to transfer Sales By Category.
|Clearing Account||Your payment information is transferred into clearing accounts in Quickbooks. You can choose the clearing account that each tender type will transfer into. For more information on clearing accounts, take a look at our What is a Clearing Account? How does it work? article.|
|Customer||A 'Customer of Record' is required to transfer sales information from your POS to your accounting solution. The transfers that Commerce Sync performs for you will be in your accounting solution under a single customer (which you can choose/change). By default, the customer will be named after your POS (Clover Customer, Square Customer or Stripe Customer).|
|Sales Tax||Sales Tax can be transferred to your Quickbooks. Once enabled, your invoices will begin to include a line for your sales tax totals. Click here for more information on how Commerce Sync transfers sales tax information.|
|Tips||Enable this feature if you input your tips information in your POS. Once enabled, your invoices will begin to include a line for your tips total. Click here for more information on how Commerce Sync transfers your tips.|
|Discounts||Enable this feature if you process discounts in your POS. Once enabled, your invoices will begin to include a line for your discounts total.|
|Refunds||Enable this feature if you process refunds in your POS. Once enabled, your invoices will begin to include a line for your discounts totals.|
|Merchant Fees ( Square & Stripe only)||Fee information for credit card processing automatically transfers by Commerce Sync. (Net income or using an Item tied to a dedicated Expense Account.)|
|Gift Cards||Gift Card activity is tracked with this Item to a separate Liability Account. Purchases, Redemptions and Refunds increase and decrease the liability as appropriate.|
Updating Settings: making the change!
Access your Settings by opening Commerce Sync from your point of sale account (Clover, Square, Stripe, etc.) and click "View" under Settings.
Once you have selected options from the drop-downs in Settings, you can take two actions from the bottom of the page:
- "Cancel" discards any changes made and returns to the Dashboard.
- "Save" updates your profile with any changes made. All changes take effect starting with the transfer on the following day.
Note: Not all settings are available for all Commerce Sync accounts, because not all settings apply to all the POS systems- you will see one set of settings, depending on whether you use Clover, Square, or Stripe.
